1. Information We Collect

When you register as an independent broker or agency principal on MyBrokerTeam (operated by Aptura LLC), we collect:

• Broker Account Information: Full name, professional email address, agency name, National Producer Number (NPN), and licensed states.
• Inbound Client Data: When you connect your broker email via Google Workspace OAuth, MyBrokerTeam processes incoming client communications solely to extract household demographics (e.g. household size, estimated income, ZIP code, doctor preferences) for plan quoting.
• Operational Logs: Timestamps of quotes generated, client proposal links sent, and broker authorization actions for compliance auditability.

2. How We Use Collected Information

We process data strictly to provide the MyBrokerTeam software services to your agency:

• To parse and structure inbound ACA health-insurance inquiries from your clients.
• To fetch and calculate real-time marketplace health-plan rates matched to your active carrier appointments.
• To track renewal windows (30/60/90 days) and alert you before Open Enrollment periods.
• To maintain immutable representation consent logs for regulatory compliance.

We never sell insurance or compete with you: Aptura LLC does not hold an insurance agency license and does not accept insurance commissions. We never solicit or market to your clients.

3. Multi-Tenant Data Isolation & Security

We employ strict multi-tenant isolation protocols. Your client records, notes, and quoting history are encrypted and partitioned from every other brokerage on the platform.

• Encryption in Transit: TLS 1.3 encryption across all public endpoints and API calls.
• Encryption at Rest: AES-256 encryption on all stored database records, lead archives, and server backups.
• No Cross-Broker Training: Your client communications are processed through private inference pipelines and are never used to train public generative models.

4. Google API Limited Use Disclosure

MyBrokerTeam's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

We only request read access to email threads categorized as insurance inquiries and never store emails outside your tenant database.

5. Data Export & Purge Rights

You own your book of business. You may export your entire client list, quote histories, and audit records in standard CSV or JSON format at any time. Upon contract termination, you may request the permanent deletion of your tenant database with a certified Certificate of Purge.
